Workforce Dimensions Google Sheets Add-onIntroductionThis guide describes how to retrieve, install, and use the Kronos Workforce Dimensions add-on forGoogle Sheets. It is intended for Kronos system administrators and users.Install the Workforce Dimensions Google Sheets add-onAccess GoogIe Drive1. Create a Google Gmail account if you do not already have one. Otherwise, go to the next step.2. Log in to your Gmail account and validate that the account is active.3. Go to your Google Drive (https://drive.google.com/drive/my-drive) to ensure that your Googleaccount is valid, and that the following options appear:Install the add-on1. In Google Drive, select New Google Sheets Blank spreadsheet. A spreadsheet opens.2. From the spreadsheet menu, select Add-ons Get add-ons. The Add-ons window opens.3. Enter Workforce Dimensions in the search box and press Enter.4

Note: Administrators require both add-ons. Users require Workforce Dimensions Reports only.4. Select the Free button for Workforce Dimensions Reports.5. Sign in to your Gmail account, and click your account name. A warning appears.6. Click Allow. After the installation is complete, an introductory message appears.5

Administrators: Create the configuration file for users1. From the Google spreadsheet menu, select Add-ons Workforce Dimensions Admin Generate settings file.2. Complete the settings fields, as in the following example:Note: The Application Key is also referred to as the consumer key.3. Click Test Connection to confirm that the values are correct.4. Click Generate Config File, which creates a file in your Google Drive named workforcedimensions.properties. Download this file, and send it to the intended users withinstructions to upload it to their Google Drive root directory.Note: If there is an existing properties file, you will be prompted to delete it.Users: Upload the configuration fileFor Workforce Dimensions to work with Google Sheets, you must copy the workforcedimensions.properties file that your administrator created (in the previous section) to yourGoogle Drive. This file contains the Google Sheets setup and connection information.1. Go to https://drive.google.com/drive/my-drive to open your Google Drive.2. From the My Drive menu, select Upload files.3. In File Explorer, browse to the workforce-dimensions.properties file and upload it toyour Google Drive. You can now use Google Sheets.6

Use the Workforce Dimensions Google Sheets add-onWorkforce Dimensions Reports in Google SheetsThere are four reports in the Google Sheets add-on: Ad Hoc Person Info: Person data sorted by time frame and HyperFind. There are 30 columns,including PersonNumber, PersonID, Employee Name, Primary Job, Location, Active BadgeNumber, and Email Address.Ad Hoc Time: Time-related data sorted by time frame and HyperFind. There are 23 columns,including Actual Apply Date, Actual Job Transfer, Actual Pay Period Number, and Actual PayPeriod Week.Call List: Open Shift Data based on Locations, Schedule Period, Procedure Sets, Skills, andCertifications. The selected criteria generates a list of employees who are available for anunassigned shift.Location Schedule Detail—Weekly: Schedule data sorted by time frame and HyperFind. Thereare 42 columns, including Employee Full Name, PersonID, Primary Location, Primary Job, andEffective Date.Example: Google Sheets pulling in data from Workforce Dimensions1. In Google Drive, select New Google Sheets, and open any spreadsheet.2. From the spreadsheet menu, select Add-ons Workforce Dimensions Reports Run Reportas New Sheet.3. At the Login screen, enter your credentials, and click Login. The Run Report as New Sheetwindow opens. The following illustration shows a completed form:7

4. If, as in this example, you select Save this report before you click Generate, you can save andname the report. You can save up to five uniquely named reports (you can also delete reports).5. When the confirmation message appears, click Ok.Example: Workforce Dimensions Call List report1. In Google Drive, select New Google Sheets, and open any spreadsheet.2. From the spreadsheet menu, select Add-ons Workforce Dimensions Reports Run Reportas New Sheet.3. From the Report Type menu, select Call List.8

4. Enter the appropriate report criteria, and click Generate.5. When the confirmation message appears, click Ok. The report appears.9
